Speed without provenance creates another review job
Parts traders often compete on response time, but a quick answer is only useful when the commercial details are right. If a tool inserts a price without showing where it came from, the agent has to repeat the search before trusting the draft.
That is not meaningful automation. It moves the work from finding a price to checking an unexplained result.
Bring the source into the decision
A better workflow extracts the part number and quantity, finds the relevant tiers in the company’s own price list and presents the choice beside the reply. The source file, sheet and cell remain visible.
The agent can select the right tier, confirm the context and keep responsibility for what is sent. The system removes searching and retyping while preserving the judgement that belongs with the commercial team.
Draft first; send deliberately
The same principle applies to the email itself. A useful draft can greet the customer correctly, reflect the request and prepare the quotation structure. It should still be clear that a person reviews and sends the final response.
For many teams, this is the right division of labour: software handles classification, extraction and preparation; people handle exceptions, commercial judgement and commitment.
